■ For state-organized delegations: family members interested in receiving offers to join delegations should update the Administration representative accompanying the family and ask to be included in the database of potential delegation participants. ■ For private trips: the family member should complete the "Request for Overseas Travel" form which details the purpose of the trip, the relationship with the captive, necessary arrangements and copies of the travelers' passport, and deliver them to the family's Administration counsellor. Requests for a specific hotel should be mentioned on the form and will be considered for approval. If the requested hotel fails to meet the stipulated criteria, another hotel will be reserved. Note: none of the above should be understood as a recommendation for family members to travel overseas but rather, as an update of the possibility to receive state funding if the family wishes to promote efforts overseas to free a family member. ■ To receive the committee's approval, it is important for the request to include a list of meetings (dates, times), officials expected to attend meetings, and any other information that may indicate the connection between the trip and the efforts to free captives. ■ It is very important to be available to provide quick answers to achieve the best results. ■ It is important to submit the request within a reasonable timeframe (at least 4 working days before the flight) to enable the relevant entities time to approve the request and handle the necessary arrangements. ■ It is important to raise any specific requests (certain flights, special needs) in advance, and we will make every effort to help, subject to guideline limitations and existing options regarding the specific request. Any additional request from the Administration during the trip requires the committee's approval - these should be submitted to the family counsellor at the Administration and not to embassy personnel.
